Many companies face the need to regulate the use of artificial intelligence by their team. The first document that companies need in this area is the AI Act.
For those who do not want to spend a lot of time on the AI Act, we publish a template of the AI Act, which is free to use. ARTIFICIAL INTELLIGENCE ACT
1. Subject of Act
The Act sets out the basic principles and rules for the use of AI by the Company's employees, contractors, shareholders and partners when carrying out their activities on the Company's equipment or when processing the Company's information (including, but not limited to, confidential information and personal data).
2. Purpose and scope of AI usage
The AI may be used for:
- automation of processes;
- data analysis and other tasks;
- design of new marketing materials.
The AI shall only be used in accordance with the law, public ethics and morals, other Company policies and this Act.
The use of AI should not harm the Company, a person, or humanity as a whole.
Employees (contractors, shareholders, partners) may only use AI Services that have been approved by the Company.
3. Principles of using AI
Transparency: All AI-related processes must be transparent and available for compliance audit.
Legality: The use of AI must comply with the EU AI-laws, local laws of the Company and of the Employee (contractor, shareholder, partner).
Safety: The use of AI shall be harmless for humanity and environment.
4. Risk management
If the AI System may have risks of being harmful, any person shall stop using such System and notify the Company thereof.
All AI Services and their use shall be subject to inspection by the Company or a third party authorised by the Company.
Training and certification
On Companies’ discretion the access to and usage of AI may be subject to prior training and certification.
Privacy, Personal Data and Security:
Data used by AI systems must be processed in accordance with data protection laws, including the GDPR or similar local regulations.
The transfer of Confidential information and personal data to artificial intelligence is not permitted, unless the Company has previously granted an exemption from this provision.
7. Intellectual property
Unless the Company has agreed to a provision to the contrary, any intellectual property created with the AI shall be the property of the Company.
8. Responsibility
The guilty party is obliged to compensate the injured party for all the losses that have occurred as a result of the violation of the AI Act.
9. Amendments
The AI Act is subject to regular review and update. The updated AI Act is applicable.
